Short answer

The flow asks what the appointment is about, pulls the available slots from your calendar with an HTTP request, and offers them as a list message. The customer picks, the flow writes the appointment back, and sends a confirmation. The reminder follows automatically after that.

Why this works

  • No back-and-forth about dates and times
  • The customer only sees slots that are genuinely free
  • Works outside office hours, exactly when people think of it
  • Fits seamlessly onto your reminder flow

The flow, step by step

Example flow · Appointment scheduling
1
Text message
“What would you like to book an appointment for?”
2
List message
Services from your catalog
3
HTTP request
GET available slots for that service
4
List message
The next three available slots
5
HTTP request
POST the appointment to your calendar
6
Text message
“Booked: {{date}} at {{time}}. See you then!”

Ready-to-use message copy

Take these and adjust them to your own tone of voice. The flow fills in the variables in double curly braces for you.

MessageText
Inventory“These slots are still open. Pick whichever suits you.”
Confirmation“Done! {{service}} on {{date}} at {{time}}. You'll get a reminder tomorrow.”

Frequently asked questions

Does this work with my calendar?

If your calendar or scheduling system has an API, yes. If it doesn't, a middle layer like Make or Zapier works, or you have the flow forward a request for you to confirm.

What if two customers pick the same slot?

Before it books anything, the flow checks again whether the slot is still free, and offers alternatives right away if it isn't.

Can I respect opening hours and breaks?

Yes, because the flow uses the availability in your own calendar. Your opening hours are already in there.
